The problem
Meetings often end with several pages of notes but no clear answer to: What did we decide? Who needs to do something? When is it due? What is still unresolved? AI can turn rough notes into a clean action list in seconds. The important rule: AI must not invent owners, deadlines or decisions that are not actually in the notes.

Meeting notes may contain customer information, employee information, financial information, confidential business plans, passwords or credentials, and legal or sensitive discussions. Only upload information you are authorised to use with your chosen AI service. Remove sensitive details when necessary.

Steps
- Copy your meeting notes. They do not need to be perfectly organised.
- Paste them into ChatGPT or Claude. If they contain sensitive information, remove that first.
- Paste the supplied prompt. For example, if the notes say "Sarah will send the revised quote by Friday. John needs to confirm the delivery date with the supplier. We agreed to use the blue packaging. Need to discuss final launch date next week.", AI should return: DECISIONS MADE: use blue packaging. ACTION ITEMS: send revised quote, owner Sarah, deadline Friday; confirm delivery date with supplier, owner John, deadline NO DEADLINE GIVEN. OPEN QUESTIONS: final launch date still needs to be agreed.
- Check that AI kept decisions separate from discussion. "We should perhaps launch on Monday" is NOT the same as "We agreed to launch on Monday." If the notes are unclear, AI should write NEEDS REVIEW rather than guessing.
- Look for missing owners and deadlines. If the notes say "Update the website before launch" but nobody was assigned, AI should show Owner: NOT ASSIGNED, and if no date was agreed, Deadline: NO DEADLINE GIVEN. This makes gaps in the meeting immediately visible.
- Review TOP 3 NEXT ACTIONS, then check the detailed action list against the original notes before sending it to anyone.
What success looks like
Before: you have several paragraphs or pages of messy meeting notes. After: you have confirmed decisions, action items, named owners, deadlines, unresolved questions and the top 3 immediate next actions. Any missing information is clearly marked rather than invented. AI can organise meeting notes, but it cannot know what was truly agreed if the notes themselves are unclear. Before sending the summary to other people, check important decisions, names and deadlines against the original notes. The original notes remain the source of truth.
