Organise Your Downloads Folder With AI

Let an AI coding agent inspect your Downloads folder, suggest sensible categories, show you a preview, then organise the files only after you approve the plan.

The problem

Downloads folders get messy quickly. PDFs, photos, spreadsheets, ZIP files, installers, Word documents, receipts and screenshots can all end up mixed together. You could drag them into folders manually, or an AI coding agent can inspect what is actually there and propose a sensible organisation plan. The important part: do not let AI start moving files before you see the plan.

  • Your Downloads folder
  • Optionally, a backup copy if the folder contains important files

Safety first

This tutorial is for organisation only: DO NOT DELETE ANYTHING. Preview first: the AI must show where files will move before changing anything. Stay inside Downloads: files must not be moved outside the chosen Downloads folder. Do not overwrite files: if a destination already contains the same filename, stop and report the conflict. Leave uncertain files alone: if AI is unsure where something belongs, it must leave the file where it is. If Downloads contains anything important, make a backup copy first.

I want to safely organise this Downloads folder: [FOLDER PATH] Do not change anything yet. First inspect the files that are actually inside this folder. Propose a simple folder structure based on what you find. Possible categories might include: - Documents - PDFs - Spreadsheets - Images - Screenshots - Installers - Archives - Receipts - Other Only use categories that make sense for the files actually present. IMPORTANT SAFETY RULES: - Do not delete anything. - Do not rename files. - Do not overwrite existing files. - Do not move files outside the folder I gave you. - Leave files in place if you are unsure where they belong. - Do not create an excessive number of folders. FIRST show me: 1. the folders you propose creating; 2. which files would move into each folder; 3. any files you are unsure about; 4. any naming conflicts or risks. Then STOP. Do not move any files until I explicitly approve the plan.

When you are ready to approve

I have reviewed the organisation plan. Proceed with ONLY the approved file moves. Keep these rules: - do not delete anything; - do not rename files; - do not overwrite existing files; - do not move anything outside the Downloads folder; - leave uncertain files untouched. After organising, report: 1. folders created; 2. number of files moved; 3. files left untouched; 4. any conflicts or errors.

Steps

  1. Open your Downloads folder and quickly check whether it contains anything especially important. If it does, make a backup copy first.
  2. Give Codex or Claude Code access to the Downloads folder using the normal workflow for that tool. You do not need to use scripts, PowerShell or Terminal yourself.
  3. Paste the first supplied prompt. Replace [FOLDER PATH] with the path to your real Downloads folder.
  4. CHECK THE PREVIEW. Look at the proposed folders, which files go where and files the AI is unsure about. For example, it might propose PDFs for invoice-august.pdf, Images for holiday-photo.jpg, Spreadsheets for budget.xlsx, Installers for setup-app.exe and Archives for screenshots.zip. Then the AI waits for approval. Make sure the plan makes sense before allowing any changes. More folders are not always better: aim for a small number of useful categories. Documents is often better than separate DOCX, TXT, RTF and ODT folders unless there is a real reason.
  5. Only after you are happy with the plan, paste the approval prompt. Then let the agent move only the approved files.

What success looks like

Before: one cluttered Downloads folder contains dozens or hundreds of mixed files. After: Downloads contains a few sensible folders such as Documents, PDFs, Images, Spreadsheets, Installers and Archives. Important: no files were deleted, no files were overwritten, uncertain files remain untouched, and files stayed inside Downloads.

If it goes wrong

If the AI proposes too many folders or strange categories, send this follow-up: The folder plan is too complicated. Do not move anything. Simplify it to no more than 6 useful folders. Group similar file types together. Leave uncertain files where they are. Show me the revised plan and STOP for approval. If anything has already moved and you need to stop, send this recovery prompt: Stop making changes. Do not move anything else. Show me a report of: 1. every file already moved; 2. its original location; 3. its new location; 4. any files that failed or were skipped. Do not make further changes.
