Clean a Messy Customer Spreadsheet With AI

The problem

Customer spreadsheets become messy surprisingly quickly. You may have SMITH next to Smith, phone numbers written in different formats, empty rows, accidental spaces, inconsistent names or possible duplicate customers. AI can help you identify and clean these problems without manually checking every row.

What you need

• Excel or another spreadsheet app
• ChatGPT or Claude
• A copy of the customer spreadsheet — not your only original file

Safety first

Customer spreadsheets can contain personal information such as names, phone numbers, email addresses or addresses. Before uploading anything, make a copy, remove information AI does not need, and only use an AI tool your business is approved to use for customer data.

Steps

1. Make a copy of your spreadsheet first. Keep the original somewhere safe and work only in the copy.
2. Remove any customer information AI does not need. Then paste the column headings and a small sample into the prompt above, or upload the copy only if your business allows it.
3. Ask AI to list the problems it finds. Review the suggestions before changing anything — especially possible duplicates.
4. Make the approved fixes in your copied spreadsheet. Check a few rows, then save it with a clear new name.

What success looks like

Your copied spreadsheet has fewer blank rows, more consistent names and phone numbers, and a clear list of anything that still needs your attention. Check several rows yourself before treating the clean-up as complete.
